1. Controller and contact

United Cargo Shipping Ltd, 301-1220 Kensington Road NW, Calgary, AB T2N 3P5, Canada, is the controller of personal data provided through BID X PORT DISPATCH, including the Join us form at dispatch.bidxport.com. For privacy matters, contact info@bidxport.com or write to our company address.

This policy covers access requests, correspondence, accounts and the use of Dispatch. Information specific to a particular contract or service is provided when that service is arranged.

2. Data we process

The Join us form collects first name, last name and email, with optional phone or WhatsApp, company, country and message. Providing data is voluntary, but we need your first name, last name and email to accept the request and contact you about access. Do not submit identity documents, payment card information or sensitive personal data.

Requests are stored in the Supabase database and made available to authorized Dispatch administrators. They are not published in a vehicle or broker directory. Submitting a request does not create an account. When access is granted, we process account details, company and branch assignments, role and access status. Supabase handles password authentication; Join us does not collect passwords.

When you use the panel, we process details submitted for transport enquiries and saved quotes, and information about account use of the features. Hosting, authentication and security services may process technical data such as IP address, request time, device and browser information.

3. Purposes and legal bases

We use the data to respond, assess access requests, onboard users and provide transport services. Where the GDPR applies, processing necessary to take steps at your request before a contract or perform a contract is based on Article 6(1)(b).

General correspondence, access management, account security and prevention of misuse are based on our legitimate interests in handling enquiries and running a secure service — Article 6(1)(f). Where applicable law imposes an obligation, we rely on the relevant legal basis, including Article 6(1)(c) where the GDPR applies.

Under applicable Canadian law, we use data for the purpose explained when it is collected and obtain consent where required. Sending a request does not subscribe you to a newsletter or give general marketing consent. If processing requires consent, we request it separately and explain the purpose.

4. Who may receive data

Authorized people handling your request or account, and providers of hosting, database, authentication, security and IT support may access data as needed to provide their services. Dispatch uses Vercel and Supabase. Company email correspondence uses Titan Mail; United Cargo Shipping Ltd remains the controller.

If a specific enquiry or service requires a broker, carrier, freight forwarder or other partner, we share only the necessary information on an appropriate legal basis. Partners may be separate controllers for their own obligations; relevant information is provided when the matter is handled. Competent authorities or authorized advisers may receive data where required by law.

5. How long we retain data

We retain access requests and related correspondence for the time needed to assess, respond to and complete the request. After the matter is closed, unnecessary data is removed unless a further retention purpose applies as described below. A Dispatch request is separate from an email: deleting an email does not delete the database request.

Account data is retained while access and the business relationship are managed. Relevant contract, quote, complaint, accounting and claim records are retained for the time necessary to handle the matter, meet applicable legal obligations, or establish, exercise or defend claims. The period depends on the record and the relevant obligations.

Emails moved to Titan Trash follow the email service's deletion rules; this does not mean immediate deletion from all copies. Technical records and backups follow provider retention cycles. Contact info@bidxport.com for information about a particular data category and its retention.

6. Processing outside your country

The controller is based in Canada. Hosting, database, email and infrastructure providers may process data in other countries, including the United States. Our Canadian address does not mean all data is stored exclusively in Canada.

Transfers of data subject to the GDPR require an appropriate basis: an applicable adequacy decision or safeguards such as standard contractual clauses. Canada's adequacy decision covers certain commercial organizations subject to PIPEDA. Contact the controller for details of safeguards for a particular transfer and how to obtain a copy.

7. Your rights

Subject to applicable law and its conditions, you may request access, correction, deletion, restriction and portability of your data. You may object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it without affecting the lawfulness of earlier processing.

Send requests to info@bidxport.com or our postal address. Where needed, we verify identity to the extent necessary to protect data. You may complain to the competent privacy authority, including Poland's President of the Personal Data Protection Office. In Canada, the competent authority depends on PIPEDA or Alberta law. Join us requests are not used for solely automated decisions with legal effects or marketing profiling.

8. Browser storage, analytics and other websites

Dispatch uses session mechanisms and cookies for authentication. Your language preference is stored in localStorage and the bidxport_lang cookie. Clearing browser data may sign you out or remove your language preference.

The panel uses Vercel Web Analytics and Speed Insights for aggregate visitor statistics and performance measurement. Web Analytics documentation describes measurements without third-party cookies. Hosting and security may still process technical data needed to operate the service. Join us message content is not intended for analytics or marketing.

Links to BIDXPORT, Facebook, WhatsApp and other services lead to separate websites with their own privacy rules. The public BIDXPORT website policy is available at www.bidxport.com/pl/privacy.
